Content Calendars: Stop Making It Hard

Most content calendars are doomed from the start. Teams build elaborate systems with endless columns, complex color codes, and metrics tracking – turning what should be a simple publishing schedule into a tangled web of tasks. The result? A system that feels more like a burden than a tool.

And when the team inevitably falls behind? It doesn’t feel like the system is broken—it feels like they are.

Rigid plans crack under the weight of reality. You end up serving the calendar instead of your audience.

The best content calendars aren’t really calendars. They’re frictionless systems that make publishing easier, not harder.

Earlier in my career, I spent weeks mapping out six-month content plans—only to abandon them by month two and then chase after a shiny new project management tool. This wasn’t because our team was lazy or lacked discipline. It was because real life doesn’t follow a spreadsheet.

Instead, here’s a system that takes 10 minutes to set up and actually works:

Keep a “Now” list (this week’s content), a “Next” list (ideas ready to write), and a “Later” list (rough concepts). That’s it.

Plan content only two weeks ahead. Anything beyond that is guesswork. Timelines shift. People get busy. Priorities change. Today’s best ideas can feel stale soon.

Block 30 minutes every Monday. Spend 10 minutes moving ideas between lists, 20 minutes outlining the week’s content. No meetings, no email—just focused planning in whatever tool you prefer (Google Docs works just fine).

This system matches how humans actually think. We’re not robots executing a six-month roadmap. We’re people responding to real-time needs and trying to get stuff out the door.

And here’s the kicker: This system produces more consistent content than complex calendars because it removes the biggest barrier—overthinking. When the path from idea to published post is clear, you actually write more.

Start this next week. You might find that the best system isn’t the most sophisticated—it’s the one you’ll actually use.
